Job cards checked to ensure all parts received according to estimate before booking vehicle for repair

Make the steps to improve your overall performance.

Why its important to implement

Each approved estimate has required parts list. Pre-arrival verification allows time to reorder missing items and exchange incorrect parts before vehicle arrives onsite.

Pre-arrival parts verification

Each estimate that is approved by work providers has an approved list of parts required to repair the vehicle. These parts should be ordered in advance of the vehicle arriving on-site. When these parts arrive, each part should be checked against the order and or estimate to make sure every item has arrived and is correct. When this is done in advance of the vehicle arriving, the business has time to reorder missing items and exchange incorrect items making sure they arrive well in advance of the vehicle arriving to be repaired.

Documentation and sign-off requirement

A mark or tick should be made next to each item, and it should be signed off by the parts manager/staff.

Business Impact

Productivity affected by bay blockages from mid-repair reordering, extended key-to-key times from onsite part delays, increased idle time, reduced customer satisfaction.

Throughput, all productivity

Vehicles blocking bays because of panel re-ordering mid-way or at the end of a job will affect productivity

Key to Key

If missing parts must be ordered when the vehicle is onsite waiting times can affect the key-to-key time

Idle Time

Vehicle siting waiting for parts to begin or continue repairs

Customer Satisfaction

Customers lose confidence and brand happiness in the business with long 'key to key' time

Overall Business Impact

Throughput and all productivity are affected when vehicles block bays due to panel re-ordering during or at the end of jobs. Key to Key times suffer when missing parts must be ordered after the vehicle arrives onsite, creating delays. Idle Time increases as vehicles sit waiting for parts to begin or continue repairs. Customer Satisfaction decreases as customers lose confidence and brand happiness due to extended key to key delivery times.

action steps

Train parts manager/staff to verify all parts against estimate before booking, immediately reorder missing parts, enforce compliance with warnings.

Policy Enforcement

Strong internal warnings if policy not followed once established.

Missing Parts Reordering

Reorder any missing parts immediately.

Parts Verification Training

Implement and train process where the parts manager/staff checks every part has arrived according to the estimate before the vehicle is booked in for repair.
